As part of the implementation of programs in Côte d'Ivoire, TechnoServe Côte d'Ivoire is recruiting an Operation and Administration Assistant.
Functions and responsibilities
Assist in the management and conduct of procurement processes and act as the logistician for the TechnoServe office.
Ensure that TechnoServe's offices in COTE D'IVOIRE are equipped with the supplies, services and equipment necessary for its operation and ensure their permanent functionality and availability (office supplies and other consumables, utilities, computers, communications, stationery, etc.).
Ensure the flawless execution of service provider contracts (Supervise office and premises maintenance - Security - Computer and network maintenance - etc. )
Manage contractual relationships with suppliers related to office equipment and services
Management of the administrative service team (cleaners, drivers, broker, executive assistant)
Plan meetings and take minutes
Write and manage administrative correspondence
Lead the process of identifying and contracting with suppliers of goods and services to the offices (Collect quotations - participate in the analysis of offers - Follow up on contracts for services or supplies - etc. ...).
Design and maintain a database of suppliers and providers o Coordinate the logistics and procurement of local goods and services within the project.
Maintain an up-to-date inventory of all office equipment, materials and supplies
Ensure and maintain a healthy work environment for all TechnoServe personnel by ensuring the implementation and strict adherence to occupational health and safety standards.
Ensure proper management of the vehicle fleet, establishing a monitoring system and maintenance schedules (Monitor vehicle usage and supervise drivers, ensuring monthly vehicle logs are kept and vehicle usage policies are followed by staff and consultants)

Required skills and experience
Bachelor's degree in management, Administration, accounting or other equivalent degree.
Minimum 2 years experience
Excellent knowledge of Excel, Access and PowerPoint required;
Excellent organizational, written, analytical and verbal skills
Fluency in english an french
